How It Works
Though all transcription companies will vary by some degree, generally you'll receive a digital audio file (usually a .wav file). You then open the audio file and transcribe it. Every transcription company will have their own format and preferences for how the finished product should look. Also, some companies will have their own software that you'll have to install and work from, whereas others might send you audio files via email or through an FTP program.
Once you finish transcribing, proofreading, and finalizing your documents, you will send the document back to the company, either through their own programs, via email, or through an FTP program.
Payment also varies from company to company. Some pay weekly, whereas others pay monthly. Also, the rate of pay will differ as well. Some rates are by audio minute or hour, and some rates are by words transcribed or by the number of pages transcribed. How much you earn will depend on the amount of work you are able to complete. -
What You'll Need
Transcription companies will vary in the type of equipment that they'll require you to have before you can start transcribing for them. But for the most part, you will need the following:
- Up-to-Date Computer
- Digital Transcription Foot Pedal
- High-Speed Internet Access
- Audio Player, such as RealPlayer
- Good Quality Headphones
- Microsoft Word or WordPerfect
- A quiet place to work, free from distractions.
Paying Taxes on Self-Employed Income
If you are hired as an independent contractor to perform transcription services from home, and you earn the minimum salary requirement (per IRS guidelines), you should receive a 1099 from the transcription company that you worked for. The 1099 will be sent to you at the beginning of the year reflecting the amount you earned during the previous year. You are required to report this as income and to pay taxes on this income. Step 1: Resume
Not all transcription companies will request a resume, but it's always good to have one already prepared in case you want to apply to a transcription company that requires a resume be submitted.
On your resume, you'll want to list any applicable jobs that you have held. Applicable jobs would be most office jobs, like a secretary or administrative assistant, any jobs where you did a lot of typing, or any jobs where you actually did some transcription. You should emphasize the types of documents you created (i.e., letters, contracts, legal documents), whether you have a legal background, and of course any college degrees or vocational college certificates you have obtained.
You'll also want to list your typing speed, and any word processing applications (i.e., Word, WordPerfect) that you have experience in.
If you do not have any office experience, focus your resume more on your typing skills and word processing knowledge. -
Step 2: Find a Suitable Company & Apply
Start searching online for work-at-home transcription opportunities. A list of companies is also provided on this page. Keep in mind that a reputable company offering work-at-home jobs will not require you to pay a fee in order to apply for or request information about the position. However, some companies may require a fee for background checks, depending upon the type of transcription the company is involved in (i.e., law enforcement).
Research the company to find out if there are any complaints being made about the company. You can even ask questions about the company on various transcription forums to get first-hand accounts of people's experiences with the company.
You also need to read through the company's website to find out what type of transcription they do, and how much experience they require. When you find a company that matches your experience and skill level, then apply. For most transcription companies, you should receive a response within a week.

Step 3: Testing and Studying
After applying to a transcription company, you may be required to take a test. It may be a typing speed test, grammar test, and/or transcription test. Some testing periods can last as long as a couple of weeks.
After you complete any necessary tests and pass, make sure to familiarize yourself with the way the company operates. You need to be familiar with how you will receive work, how to complete the work, and how to submit your completed work. You will most likely be provided with a manual or other documentation to assist you in these areas. -
Step 4: Begin Working
After you are familiar with the companies policies and procedures, and you have all the necessary equipment, you are ready to begin working and earning extra income.
Make sure to keep accurate records of the work you complete in case there are any discrepancies in your pay. You should also keep record of any business expenses that you incur related to your transcription job, as you may be able to write-off these expenses when you file taxes. -
