Is there a way i can easily input names into a template email?

So...I am sending a massive amount of emails out to people. I have an email template--I change the names, dates, and such every time i use it. Bottomline, its a huge hassle. Are there any programs out there that will let me input data into the template and produce a document?

If so, this would save me boatloads of time (it will also keep me from accidentally using the wrong name in emailing someone.)

You do want to send mass e-mails: a "personalized e-mail to each person" is exactly a mass e-mail. Check out your favorite word-processor's "mail-merge" feature. The same framework, with some slight changes per person, goes to everyone...but the data that differentiates each e-mail has to come from somewhere. Usually an Excel Spreadsheet--and this program fits your needs.

Thanks for the assistance; however, this still does not answer my question. I don't want to send mass emails. I want to send a personalized email to multiple people. Is there any program or application that will allow me to easily swap the names of the recipient (and a few other small details?

I think you missed this:

Just because it CAN send 20,000 emails per hour doesn't mean it HAS TO.

And so, I'll have to include a screen shot of an individual email being sent.

You want it sent to ONE contact, you make sure ONLY that contact is checked.

Outside of online services, there is a way with Microsoft Word. If I understand correctly, you have text that is standard and you want to customize the name, date, and maybe some other minor information and send as a personalized email to several different people. You can create what's called a Mail Merge. It can take names from Outlook or you can input them and they will appear in the spot you designate in the template. There is a code that would designate the current date that you could put in your template, or of course you could change that by name. You can also customize info for each name by creating a custom column that would be anything you designate, like the item they donated, for example, if it was a thank you letter. After the merge is complete, you can copy and paste (using the keyboard shortcuts of control-c and control-k) to each email. Hope this is helpful. Ask if you have questions about this method if this is in fact what you are looking for.

Using the Mail Merge feature in Word is my vote. Word takes a background data source (database, excel spreadsheet, csv file, etc) and allows you to take any field and add it. Then it sends, one email per record in the data source.

A caution: over 500 at once tends to cause any mail server to start dropping messages, so if you are sending to over 500, please break the list up into several sections.

I recommend using an online service that will help you manage your contacts, create nice looking template emails and track clickthrough statistics (how many people read your email, how many visited a link in your email, etc.).
